Building Access Policy and Procedures

Policy

It is the policy of ACS Technologies Group, Inc. (“ACST”) to provide and exercise access control to its physical facilities to ensure the safety and well-being of ACST staff. Access is granted to staff on the basis of their role within the company. As such, most staff will have access during ACST’s normal business hours. Exceptions are made for role or functional differences. Please refer to the Normal Access Procedures table for details around timing and access.

In the event of a contingency situation, please refer to the Contingency Access Procedures.

Procedures

All staff are given a keycard that allows them general entry to all campus buildings. Some employees may have privileged entry to restricted areas. If your keycard is lost or stolen, enter an

IT Service Request Ticket to notify IT immediately. IT will deactivate your card and HR will issue you a new card. You may be required to pay $5.00 for a new card.

Normal Access

ACST's regular operating hours are from 8:00 am - 8:00 pm Monday through Thursday, and 8:00 am - 6:00 pm on Fridays. Depending on your group access status, you may have different access times to the buildings.

How to enter the building during normal business hours:

  1. Present your card to the scanner and the door will release.

  2. If you are the first person to enter the building that day, you will hear the external alarm beep when you open the door. This indicates that the alarm is deactivated.

  3. If the alarm sounds, contact an After-Hours Emergency Contact. Phone numbers are posted at the alarm panels.

If you have difficulty setting the alarm or if the alarm goes off, call the emergency contacts in the order listed. The alarm monitoring company will contact them and they need to know who is in the building and set the alarm. You will be responsible for re-entering the building and properly re-arming it. Wait for the police to arrive to explain the mishap.
Note:

If you’re working at the Florence campus, access is limited to:

  • Tech building: use the rear double doors

  • ACST Health Clinic: If you or a family member have an appointment to see the Nurse Practitioner in person, you must ring the bell to gain access to the building.

  • Managers still have access to the Admin building during regular business hours.

  • Building alarms are automatically set at 9:00 pm

After Hours Access

If you need access to the buildings outside of normal working hours, speak to your manager and ask for after-hours access. Enter a Permissions Change Request and include the building(s) you need access to and the times needed. Your manager will have to approve the request in a note.

You will need to know what to do when working after-hours, and how to set the alarm (see below). We encourage you to walk through the steps with your manager to make sure you safely exit the building without sounding an alarm. Reviews of those who have after-hours access are done every 180 days.

What to do if working after-hours:

  1. Sign the appropriate sign-in sheet. The sign-in sheet for the Tech building is located next to the rear double doors. The Admin building sign-in sheet is located next to the front lobby door. All of the modular buildings tie to the Admin building and should use the front lobby sheet.

  2. After completing your work and before arming the security system, you are responsible for the following:

    1. Turn off coffee pots or hot pots.

    2. Check the appropriate sign-in sheet and sign out

    3. Set the alarm if no one else is listed on the sign-in sheet.

How to set the alarm:

  1. Confirm that no one else has signed in on the sheet.

  2. Sign yourself out.

  3. Press and hold Away until the alarm sets. You will hear an audible alert when set.

  4. You have 30 seconds to exit the building.

Note: Do not set the alarm if someone else has signed in and is still in the building, the alarm will go off when they attempt to leave.
How to enter the building when the alarm is set:

To enter a modular building you must first disarm the alarm in the Admin building.

  1. To disarm the alarm you must enter through the rear double doors for the Tech building or the North door (door on side facing the Tech building) for the Admin building.

  2. Your Keyscan access card should both unlock the door and disable the alarm. Do not forcibly open a locked door, this will cause the alarm to sound.

  3. Enter your name, date, time in and out on the log book posted near the entrance at the corresponding door.

Group Access

Special group access may be needed in certain circumstances. For example, an IT team may need to come into work on a Saturday to update a system. The group leader would be responsible for letting their staff in, ensuring everyone leaves the building, and activating the alarm. This keeps us from having to give access to a large number of people. Our system is not designed for team-level/department-level access types.

The group leader is responsible for employees coming into the office with group entry days (e.g. Saturday work-days, releases, etc.).
