Visitor Policy
This policy explains how visitors should be addressed and escorted while on campus at the company.
Policy
ACS Technologies Group, Inc. ("ACST") has adopted this policy to provide guidance about how to accommodate visitors at our facilities. ACST maintains controlled access facilities to ensure the safety and security of ACST employees, our visitors, and our property. Only authorized personnel have access to ACST facilities. Employees should only open building doors for recognized ACST staff. Vendors and employees who are given building access must have a keycard to enter any ACST building secured by a keycard reader. Anyone without a keycard on campus should be considered a visitor and must be escorted until they are confirmed to be an employee or authorized vendor. Visitors cannot be issued keycards.
Scope and Applicability
This policy applies to all ACST employees at all ACST facilities.
Procedures
Visitors to all locations must always be escorted by an ACST employee. When a visitor arrives, they should notify their ACST employee contact that they are on site. The ACST employee will meet the visitor at a specified location.
Enforcement
Any employee in violation of this policy may be subject to corrective action, up to and including termination of employment.
Visitor and Vendor Badges
Vendors who require access to the Florence campus (with the exception of courier services such as UPS, FedEx, etc.) will need to report to the Tech lobby to obtain a keycard.
Variance Process
The Chief Ventures Officer is responsible for the review, documentation, and management of any and all exceptions to this policy.
Frequently Asked Questions?
1) Who is responsible for escorting a visitor that enters the building?
The employee who is the primary point of contact is responsible for escorting the visitor.
2) Are family members considered visitors?
Yes.
3) What is the policy regarding family members in my work area?
Family members require an escort. Department managers may allow family members in your work area - at their discretion.
4) What do I do if a person unknown to me is waiting at an entrance and says someone is expecting them?
Ask who is expecting them and notify the person that a visitor is waiting for them. Do not let them in. Politely tell the visitor to wait at the front desk until their escort is available.
5) How do I nicely stop someone I don't know from "tailgating" (following you inside without using a keycard)?
Politely introduce yourself and ask “Are you new here or are you visiting someone at ACST?” If they identify themselves as a visitor, notify the employee via Slack. If they say they are a new employee, tactfully say “Since you’re a new employee, let's make sure your keycard is working”.
6) When remote employees visit the office, are they considered visitors?
No, remote employees should be issued a keycard, with appropriate building access, for the duration of their stay. IT will arrange this when notified.
