Run the Clean Up Data Process
- Back up your data.
- During this process, you are in control of which changes, if any, are made. Each step of the Clean Up Data process can be run independently at any time.
Why is this required? Cleaning up your data will standardize certain types and descriptions so your records can be migrated into MinistryPlatform. It's much easier to update these in your PDS data before the migration.
What will this process do? The process presents you with potential issues in your PDS Church Office data, and you can decide what changes are needed.
How long will this take? This process can take some time depending on the amount of data in your program, so be sure to plan accordingly. If you need assistance, call PDS Support at 1-877-737-4457.
Clean Up Family Data
- Review the information about families.
- Click Next.
Clean Up Member Data
- Review the information about members.
- Click Next.
Clean Up Sacramental Data
- Review the information about duplicate sacrament places.
- Review the member sacraments.
- Click Next.
Clean Up Financial Data
- Review the information about financials.
- Click Next.
Clean Up Keyword Data
- Review any exact-matching duplicate keywords.
- If duplicates are found (that is, entries that match 100% exactly), the keyword displays in red text and the number beside it indicates how many there are. Hover your mouse over the number to see which entries are duplicated.
- Click Print Worksheet to view each keyword name, count, and any duplicate values. Use this worksheet to determine which keywords need to be combined, if any.
- To clean up similar user-defined keyword lists, click Combine 2 User Keyword Lists. Then, select the two lists that contain similar keywords, and select which list to keep. This moves all keyword values from one list to the other, so the list you keep will contain all the original values. Any exact-matching duplicate keywords resulting from the merge will be resolved during this step. No keywords are combined during this process, but you can use the Combine Keywords process to do this later.
- To clean up the duplicate entries for all keywords, click Eliminate Duplicate Keywords, then click Yes to continue. This combines the duplicate entries and eliminates the duplicate from each keyword list.
- A new number displays beside the keywords after eliminating duplicates. This indicates how many records were updated in order to replace the duplicate entries.
- Click Next.
Clean Up Types
- Review the information about phone types.
- Click Next.
- Review the information about email types.
- Click Next.
- Review the information about marriage status types.
- Click Next.
- Review the information about sacrament sponsor types.
- Click Finish. To exit the process, click Yes.
All data requirements for migrating should be met at this point.
